We only collect personal data relevant to the interaction you have with our Charity. The personal information we collect may include:

  • Personal information and educational records if they are relevant to the administration of our awards

  • Financial information, bank details and donation history if you have supported the Charity

  • Personal information in line with your contract of employment or contract for services if you are an employee or provide services to the Charity

  • Personal information that is available in the public domain, for example newspaper articles, social media posts or Companies House listings

  • General information about the use of our website, such as which webpages you visit most often and which services, events or facilities are of most interest

  • General information about your interest in our email communications, such as which webpages you visit when you receive an email newsletter

  • Technical information relating to your use of our website, including your browser type or the Internet Protocol (IP) address used to connect your computer to the internet. Wherever possible we use anonymous information which does not identify individual visitors to our website

 

How we obtain personal information:

Most of the personal information we process is provided to us directly by you when you:

  • Enquire about our activities

  • Make a donation to support our work

  • Subscribe to our newsletter

  • Send or receive emails and letters with us

  • Complete applications for job vacancies 

  • Apply and/or receive one of our educational awards

 

We also receive personal information indirectly, when you:

  • Make a donation through a third party such as Just Giving and give them permission to share your information with us 

  • Apply for an award through a partner school 

  • Read our newsletters 

  • Use our website 

 

To ensure that our interaction with you is relevant and tailored to your interests, we may supplement what we know about you with information in the public domain, for example with newspaper articles, social media posts or Companies House listings. This allows us to better understand your interests, preferences, and level of potential engagement so that we can contact you in the most appropriate way.

 

Why we hold personal information: 

We use the personal information in order to:

  • Provide you with services, products or information you have requested

  • Send you updates about the Charity and invitations to events which may interest you

  • Notify you about changes to our services

  • Assess candidates for an award

  • Provide the best service for recipients of our awards

  • Improve our website and communications

  • Process donations and claim Gift Aid when appropriate 

  • Promote the cause of our Charity

  • Discharge our obligations as a Charity under Charity law 


Who we share personal information with:

We are committed to protecting your data and therefore it will never be sold to external organisations and will only be disclosed to those acting as agents and data processors carrying out work on our behalf to provide a service to you, or where we have a legal duty to do so. Where we enter into a relationship with an external party, any such arrangements will be subject to a formal agreement between The Britain-Australia Society Education Trust and that organisation to protect the security of your data.

How we store your personal information:

We keep personal information secure, accurate and up to date. We retain your information for no longer than is necessary and in accordance with any period required by law, for example, where you sign up to the Gift Aid scheme, we will process your data for the purposes of submitting a Gift Aid claim to HMRC. Where we are not under a legal obligation to retain your information, we will determine what is necessary by reference to the lawful basis for processing your data.

Your data protection rights:

We legally require your express consent to use your information for certain purposes, but we also rely upon our right to process data in pursuit of the Charity’s legitimate interests (furthering our charitable objectives which may include fundraising) without always obtaining your express consent. Where we rely upon our legitimate interests in order to contact you, we will always remind you of your right to unsubscribe from any further contact.

Under data protection law, you have rights including:

  • Your right of access: you have the right to ask us for copies of your personal information

  • Your right to rectification: you have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete

  • Your right to erasure: you have the right to ask us to erase your personal information in certain circumstances

  • Your right to restriction of processing: you have the right to ask us to restrict the processing of your personal information in certain circumstances

  • Your right to object to processing: you have the the right to object to the processing of your personal information in certain circumstances

  • Your right to data portability: you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances

 

You are not required to pay any charge for exercising your rights.
